Contracts and Office Administrator
Reports to: Pre-Construction Manager, Lead Designer & Principal

The successful candidate will be the company’s point of contact with clients at various stages of production so clear and concise communication skills (both written & verbal) are of great importance.

Primary Responsibilities:

• Greeting, announcing and assisting visitors
• Answering and directing phone calls as required
• Preparing and sending courier packages and mail (including monthly invoices)
• Receiving, screening, stamping and distributing courier packages and mail
• Maintaining cleanliness in office & samples area
• Filing hardcopy documents (for general office and accounting)
• Copying and scanning documents
• Basic word processing
• Tidying kitchen and ensuring kitchen supplies are stocked
• Organizing, inventorying and ordering of basic office supplies
• Creating new hardcopy folders (for general office and client / project binders)
• Creating and updating staff & Contractor contact cards
• Process all new client Pre-Construction contracts
• Compile all Pre-Construction & Construction contract documentation
• Assist in compiling design specifications for master specification & specific projects
• Send out specification & drawing packages to trades and suppliers for quoting
• Do quantity “take offs” of materials for pricing and ordering from drawings (assist Pre Construction Manager)

Other Responsibilities:

• Preparing basic transmittals for courier packages
• Stamping drawings, as requested.
• Picking up site surveys and printed drawing packages
• Assisting with the coordination of lunch and learns.

Required Skills and Knowledge:

• Exceptional internal and external customer service skills.
• Excellent verbal and written communication skills in English.
• Professional appearance, positive friendly attitude, and refined phone etiquette.
• Proficient in Microsoft Office (intermediate knowledge of Word and Outlook, and familiarity with Excel).
• 2 years of office experience with a multi-line phone system.
• Reliability, willingness to assist others and strong organizational skills.

Architectural Technologist/Designer
Level of Experience: Junior to Intermediate

July 21, 2017

We are looking for an energetic full time architectural technologist, preferably with a minimum of 1 – 2 years local experience and with the following skills:
– Certificate/ Degree/ Diploma in Architecture/ Architectural Technology
– Knowledge of local codes BCBC & VBBL
– Preparing working drawings, building permit submissions, tender and construction documents
– Proficiency in Vectorworks, Sketch Up and all Microsoft applications (Excel, Word etc.)
– Liaise with clients, subcontractors, consultants and municipalities
– Good written and oral communication skills
– Ability to work independently and within a team
– Excellent organizational, time management and problem solving skills
